The Director, IT Business Partner — G&A & Finance Systems is the single accountable IT owner for Definium’s general & administrative (G&A) and finance application portfolio, and the primary bridge between Enterprise Technology and the Finance, Accounting, Procurement, People (HR), and in-scope R&D / Clinical functions. The role carries two responsibilities of company-wide significance: producing the IT control evidence underpinning Definium’s Sarbanes-Oxley (SOX) program, and serving as the IT operational lead for the governed roll-out of artificial intelligence (AI) across the company.
Key responsibilities
Business partnership & systems ownership
Serve as the primary IT business partner to Finance, Accounting, FP&A, Procurement, and People / HR — translating functional needs into a prioritized, business-aligned roadmap and advising on process improvement and automation
Own administration, configuration, and lifecycle management of the G&A / finance portfolio: NetSuite (ERP), Coupa (procure-to-pay), SAP Concur (T&E), BambooHR (HRIS), Greenhouse (ATS), Malbek (CLM), in-scope Veeva applications, and any newly identified applications as needed
Manage role design, user provisioning / deprovisioning, integrations, and data integrity under segregation-of-duties (SoD) and least-privilege principles; lead the migration of clinical systems from Medidata to Veeva eTMF / CTMS with the validation resource; and maintain configuration baselines and SOPs
Project & vendor / MSP management
Lead end-to-end delivery of new G&A / finance systems and enhancements — requirements, vendor selection, implementation, user-acceptance testing, go-live, and hypercare
Direct the Managed Service Providers (MSPs) and vendors performing build, configuration, and maintenance; manage statements of work, service levels, and escalations; and verify deliverables, including validation where applicable
SOX & IT general controls
Design, operate, and evidence IT general controls (ITGCs) — access management, change management, and IT operations — over financially-significant systems
Produce the IT control evidence supporting management’s assessment of internal control over financial reporting under SOX Section 404(a) for FY2026–FY2027, and prepare and dry-run the ITGC evidence for the first external-auditor attestation under 404(b) (built through FY2027 ahead of the FY2028 audit)
Execute periodic user-access reviews, SoD-conflict monitoring, and remediation tracking, partnering with Finance, Internal Audit, and external auditors as the IT control owner and evidence provider
Scope note: SOX program ownership and management’s attestation remain with Finance / Internal Audit. This role produces and operates the IT controls and evidence, does not self-attest, and performs privileged actions under documented compensating controls to preserve segregation of duties
Security, privacy & continuous improvement
Enforce access governance, SoD, and least-privilege in partnership with Information Security; support incident response; and ensure systems handling employee and financial personal data (e.g., BambooHR, Concur) are managed in line with applicable privacy laws (e.g., CCPA / CPRA)
Anticipate the system, control, and capacity needs of a rapidly scaling, soon-to-be-commercial organization; drive automation and integration; and maintain a centralized inventory of SaaS applications, licenses, and entitlements to eliminate redundant or dormant spend
AI enablement (enterprise-wide)
Serve as the IT operational lead for the safe, governed roll-out of AI across the entire company (not limited to G&A and Finance), executing under the authority and risk framework of Definium’s AI Oversight Group (AOG)
Operationalize AOG decisions — use-case intake and triage, tooling enablement, access and usage controls, monitoring, and user enablement — partnering with Legal, Quality, Compliance, Information Security, and the Data Protection Officer; escalate product-embedded AI / SaMD questions to the appropriate product-governance pathway
Required qualifications
Bachelor’s degree in Information Systems, Finance, Accounting, Business, or a related field; equivalent experience considered.
8+ years of progressive experience administering and delivering enterprise / financial systems, including hands-on ownership of a cloud ERP (NetSuite strongly preferred).
Demonstrated experience operating and evidencing ITGCs in a SOX environment at a publicly-traded company.
Working knowledge of procure-to-pay (Coupa), travel & expense (Concur), and HRIS (BambooHR), or comparable platforms.
Proven project management across full system-implementation lifecycles (including MSP and vendor management), with a strong command of SoD, least-privilege, and change-management disciplines and excellent stakeholder and executive communication skills.
Preferred qualifications
Life sciences, pharmaceutical, biotech, or other regulated-industry experience, including familiarity with GxP, 21 CFR Part 11, and EMA Annex 11, and hands-on Veeva administration (Clinical, Regulatory, Quality suites).
Experience supporting a pre-commercial company through commercial launch and rapid scaling, and leading enterprise AI enablement within a governance framework.
Relevant certifications (e.g., NetSuite Administrator / SuiteFoundation, PMP, CISA).
Compensation & posting information
The starting base pay range for this position is $203,632.00-233,500.00 with compensation determined based on several factors including skill set, years of experience, and geographic location.
