Schedule: 40 hours per week, Hybrid (On-site 6-8 days per month)

POSITION SUMMARY:


The Finance and Operations Analyst supports the financial management and core internal operations of the TEAM UP Center. The position manages financial activities across the full cycle of TEAM UP’s grant, contract, donor, and other funded accounts; maintains budgets, forecasts, reconciliations, and financial reporting; coordinates financial and administrative processes; and develops and maintains operational systems and standard operating procedures. Under the direction of the Director of Operations, the role works across TEAM UP leadership and staff, BMC Sponsored Programs Administration, Finance, and other administrative departments, and external partners to support accurate financial management and consistent Center operations.


JOB RESPONSIBILITIES


The Finance and Operations Analyst is responsible for managing financial and operational activities to support effective administration of TEAM UP Center grants, contracts, funded projects, and core operations. Duties include the following:

 

  • Manages financial administration across the full life cycle of TEAM UP Center’s portfolio of grants, contracts, donor funds, and other funded accounts, including pre-award budget development, guidance on budget creation, InfoEd record creation and maintenance, and required financial documentation; account setup; award modifications and rebudgeting; deposits and authorization of expenses; invoicing, reimbursements, consultant and subcontract payments; ongoing financial monitoring and reconciliation; and award closeout. Serves as a primary point of contact for financial questions and coordinates with TEAM UP leadership, Sponsored Programs Administration, Finance,  external partners to resolve issues. (30%)
  • Manages TEAM UP Center-wide financial planning, monitoring, and reporting across funding sources, including annual budgeting, consolidated budget-to-actual tracking, forecasting and projections, salary and payroll allocations, effort tracking, personnel cost tracking and projections, master financial workbooks, and regular financial reporting to support leadership planning and decision-making. (25%)
  • Coordinates financial and administrative processes pertaining to TEAM UP operations, including purchasing, reimbursements, accounts payable, consultant payments, the subcontract issuance and administration lifecycle, including initiation, documentation, tracking, invoice coordination, and follow-up, invoicing, payroll-related transactions, and pre-award activities such as budget development and InfoEd record creation, as needed. Manages invoice preparation, submission, tracking, follow-up, and supporting documentation, and supports financial compliance and audit-related requests as needed. (20%)
  • Develops, documents, and maintains TEAM UP Center operational processes and standard operating procedures, including centralized files, workflow documentation, process updates, and systems to support consistent and efficient Center operations and monitor adherence to established procedures. (15%)
  • Coordinates administrative support for TEAM UP Center staff, including standardized onboarding, equipment and systems access, required documentation, orientation and training activities, and guidance on applicable financial and administrative policies and procedures in partnership with hiring managers and administrative teams. (10%)

JOB REQUIREMENTS:

 

EDUCATION/EXPERIENCE

  • Bachelor’s degree in finance, accounting, business administration, health care administration, public health, or a related field
  • Minimum of three years of progressively responsible experience in grant and contract administration, financial management, budgeting, post-award administration, operations, or a related area (or equivalent combination of education and experience.)

 

 PREFERRED EDUCATION/EXPERIENCE

 

  •  Experience managing a portfolio of grants, contracts, and other funded accounts in a health care, academic, research, or nonprofit setting.
  • Experience with budget development and forecasting, financial reconciliation, post-award administration, invoicing, payroll and effort allocation, and operational process development preferred.
  • Experience handling confidential financial, personnel, and organizational information with appropriate judgment and discretion preferred.

 

KNOWLEDGE, SKILLS AND ABILITIES:


  • Knowledge of federal and non-federal grant requirements and post-award financial administration.
  • Knowledge of grant administration policies, procedures, and financial practices.
  • Ability to develop and maintain budgets, forecasts, reconciliations, and financial tracking tools.
  • Ability to analyze financial information and communicate budget status, expenditures, projections, and outstanding issues.
  • Ability to coordinate financial and administrative processes across internal departments and external partners.
  • Ability to develop, document, and maintain standard operating procedures and administrative workflows.
  • Advanced proficiency in Microsoft Excel and proficiency with financial, grants management, or accounting systems used for budgeting, reconciliation, forecasting, invoicing, and reporting.

Compensation Range:

$78,000.00- $113,000.00

This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer.
