Position Summary
The Manager, Financial Planning & Analysis supports the Chief Compliance Officer by providing financial insight and analysis focused on Milestone's assisted living communities. Reporting to the Chief Compliance Officer, this role builds and maintains financial models, monitors community-level performance, and uses sound judgment to identify opportunities for business improvement across the assisted living portfolio.
This is a hands-on analytical role with portfolio-wide visibility. The FP&A Manager provides direct analytical support to community leadership and the Senior Leadership team on matters related to independent living, assisted living, and memory care financial performance, and serves as the coordination point between Milestone, its communities, and third party accounting services on payables and general accounting matters. The role balances rigorous analysis with operational partnership: models are built to be used, reporting is distributed proactively rather than on request, and anomalies are surfaced early enough to be corrected.

Reporting Relationship & Scope of Authority
The Manager, Financial Planning & Analysis reports directly to the Chief Compliance Officer and works in close partnership with the Chief Growth & Experience Officer, Regional Directors of Operations, and community Executive Directors. The FP&A Manager exercises delegated authority to:

Build, own, and maintain the financial models, forecasts, and reporting used for community-level and portfolio-level performance monitoring across independent living, assisted living, and memory care.

Define the metrics, KPIs, formats, and distribution cadence of recurring financial reporting to community and senior leadership, subject to review by the Chief Compliance Officer.

Request, review, and challenge financial information produced by third party accounting services, and coordinate resolution of payables and general accounting issues between the third party firm, the Support Center, and communities.

Escalate financial anomalies, variance trends, control gaps, and data integrity concerns directly to the Chief Compliance Officer without delay.

Prioritize and direct the analytical workload of Financial Analysts supporting assisted living communities, and recommend development actions to the Chief Compliance Officer.

Develop proformas and financial scenarios for potential new assisted living business as assigned by the Chief Growth & Experience Officer and the Chief Compliance Officer.
Essential Functions
Financial Analysis & Business Improvement

Identify business opportunities and drive improvement across assisted living communities through rigorous analysis.

Build and maintain financial models supporting occupancy, revenue, labor, expense, and margin analysis at the community and portfolio level.

Dig into potential issues to identify root causes, and proactively take action to resolve or prevent them before they escalate.

Provide direct analytical support to community leadership and the Senior Leadership team on independent living, assisted living, and memory care financial performance.

Assist with special projects as requested and prepare ad hoc analyses on a regular basis.
Reporting, Metrics & KPIs
-
Proactively create and distribute reporting with a broad range of metrics and KPIs specific to assisted living operations, so community and senior leadership can make informed strategic decisions.

Monitor community-level performance against budget, forecast, and prior period, and explain variance drivers in clear operational terms.

Ensure reporting is accurate, consistently formatted, and delivered on a reliable cadence that leaders can plan around.
Systems, Tools & Automation

Support initiatives to improve and automate tools and systems for forecasting and reporting for the Milestone community portfolio.

Maintain model documentation, version control, and source-data integrity so analysis is reproducible and auditable.

Leverage Yardi, Yardi Elevate, Yardi 7s, and advanced Excel capability to reduce manual effort and improve data reliability.
Team Development & Workload Prioritization

Assist in the development and mentorship of Analysts supporting assisted living communities, and help prioritize their projects and workload.

Review analyst work for accuracy and clarity before it reaches community or senior leadership.

Foster teamwork with coworkers and Team Members, show initiative in overcoming obstacles, and take actions that assist others beyond assigned job responsibilities.
Third Party Accounting Coordination

Coordinate communication regarding payables and general accounting issues between third party accounting services, Milestone, and assisted living communities.

Monitor the financial health of all Milestone communities as reported by third party accounting services; escalate anomalies to the Chief Compliance Officer.

Provide input on the general oversight of accounting services performed by the third party accounting firm as it relates to assisted living communities.

Occasional travel to the Support Center to monitor the accounting team.
Budgeting, Rent Increases & Growth Support

Support the yearly budgeting process for Milestone communities.

Support the community rent increase process for Milestone communities.

Develop and maintain proformas related to potential new assisted living business, as assigned by the Chief Growth & Experience Officer and the Chief Compliance Officer.

Occasional travel to assisted living communities to gain deeper insight into community operations.

The Manager, Financial Planning & Analysis is evaluated on analytical accuracy, reporting discipline, and measurable contribution to community financial performance. Targets are set annually with the Chief Compliance Officer and reviewed monthly.

Qualifications & Competencies
Required Education & Experience

Bachelor's degree in Finance or Accounting required. MBA is a plus.

Three or more years of relevant financial analysis experience required.

Prior supervisory or lead-analyst experience preferred.
-
Working knowledge of the health care industry required; senior living experience preferred.
-
Advanced Microsoft Excel skills required, including but not limited to SUMIFS, pivot tables, and VLOOKUPs. VBA experience is beneficial.

Experience with Yardi highly preferred, including knowledge of Yardi Elevate and Yardi 7s.

Must be able and willing to travel occasionally to the Support Center and to assisted living communities.
