Job Description
Grants Specialist (Accounting)
This position is responsible for performing a wide range of administrative and financial functions that support the grant development, invoicing, and compliance processes. The Grants Specialist ensures accurate documentation, timely reporting, and adherence to all applicable funding requirements.
Location:
This role is located in Midtown - Sacramento, CA (95811).
This role allows a hybrid schedule requiring 2-3 days per week on site.
Essential Functions
- Prepare monthly grant invoices for assigned grants in accordance with all Private, County, State, Federal guidelines.
- Gather and organize required supporting documentation for each invoice.
- Assist with reviewing data from EHR needed for monthly invoicing and reporting.
- Maintain accurate and organized records related to grant budgets, amendments, contracts, invoicing, and supporting documentation.
- Collaborate with the Supervisor and team members to ensure accurate financial reporting, compliance with grant requirements and internal procedures.
- Assist with researching and reconciling discrepancies between the general ledger and supporting documentation.
- Support General Ledger adjustments as needed to align with grant requirements and ensure proper tracking of grant funds
- Assist with time and effort reporting system, ensuring completeness and compliance with applicable regulations; maintains regular communications with relevant departments.
ADDITIONAL DUTIES
- Participate in process improvements to increase efficiency and accuracy in grant-related workflows
- Assist with special projects related to grant funding, reporting, and compliance
- Maintain audit readiness by ensuring documentation is current, complete and well organized.
Minimum Requirements
- Associate degree in Business, Accounting or other related field, or equivalent work experience
- Basic knowledge of accounting principles, including understanding of debits and credits, general ledger concepts, and financial data accuracy
- Strong proficiency in Microsoft Excel and ability to work with data sets and reports with strong knowledge in MS Office.
- High attention to detail with a focus on accuracy and organization
- Ability to manage multiple tasks under pressure to meet deadlines in a structured environment and maintain composure
Preferred Background
- Experience in a non-profit healthcare organization and/or grant funded environments is preferred.
- Familiarity with grant compliance requirements is preferred, but willingness to learn grant regulations and funding requirements is essential
- Experience working with financial and data systems.
- Knowledge of Ryan White programs or similar funding sources is a plus
