As a Research Finance Coordinator, you’ll do more than maintain financial and study documentation—you’ll help strengthen the operational foundation that enables research to move forward and change lives.

Summary

The Research Finance Coordinator supports administrative, operational, and financial activities within Research Billing Services (RBS) in support of the Minneapolis Heart Institute Foundation (MHIF) mission. This position is responsible for organizing and maintaining research finance and study-related documentation, entering and validating financial data, extracting key information from research agreements, and supporting the development of reporting tools and dashboards.

The Research Finance Coordinator also assists with reconciliation activities, workflow documentation, and process improvement initiatives to help ensure accurate, accessible, and well-organized financial records. This role works collaboratively with RBS team members and supports departmental projects, reporting needs, and special initiatives as assigned. This is a part time position working onsite at our Minneapolis Office 10-15 hours per week.

Primary Responsibilities

  • Support administrative, operational, and financial activities for Research Billing Services, which may include:
  • Organize, maintain, and archive research finance files, study documentation, and related records.
  • Perform data entry and validation of research financial information within tracking systems and databases.
  • Format, update, and maintain financial, operational, and study-related documents to ensure consistency, accuracy, and accessibility.
  • Extract and compile key financial and contractual data from research agreements and supporting documentation.
  • Assist with the preparation, organization, and maintenance of reconciliation documentation and related financial records.
  • Work collaboratively with all MHIF employees as part of a positive, supportive culture.

Secondary Responsibilities

  • Assist in developing and maintaining trackers, reports, and dashboards to support team operations, workload management, and financial monitoring.
  • Assist with the creation and updating of workflow documentation, process guides, and other departmental resources.
  • Support RBS team members with process improvement initiatives and operational efficiencies.
  • Provide administrative support for departmental projects, reporting needs, and special initiatives as assigned.
  • Participate in continuing learning opportunities to build knowledge of research finance operations, systems, processes, and documentation requirements.
  • Complete other administrative, financial, and study-related tasks as assigned.

Relationships

This position reports to the Director of Research Finance Operations and provides administrative support to the Research Business Services team. The incumbent works collaboratively with RBS team members and may interact regularly with MHIF staff, Minneapolis Heart Institute personnel, Abbott Northwestern staff, research teams, and external vendors or study sponsors as needed.

What Sets You Apart

  • High school diploma or GED required; associate or bachelor’s degree in healthcare administration, business administration, finance, or a related field preferred.
  • Basic understanding of accounting principles, budgets, and financial documentation.
  • High attention to detail, with a strong ability to organize records, documents, and multiple concurrent priorities.
  • Strong analytical thinking, problem-solving, communication, customer service, and organizational skills.
  • Ability to work independently while collaborating effectively as part of a team.
  • Proficiency in Microsoft Office, including Excel, with a strong aptitude for learning new technology systems.
  • Ability to create and maintain accurate, consistent, and accessible documentation.
  • Interest in supporting research operations and contributing to process improvement initiatives.
