Position Summary

Apis Services is seeking a detail-oriented and experienced Staff Accountant to support financial operations within the Youth Services division. This position is responsible for maintaining financial records, preparing account reconciliations, managing general ledger activities, supporting month-end and year-end close processes, assisting with audits, and ensuring compliance with accounting standards and organizational policies.

The Staff Accountant plays a critical role in supporting sound financial management practices while contributing to the mission of helping youth and families create a better future.

Essential Duties and Responsibilities

General Accounting

  • Prepare monthly bank reconciliations and resolve discrepancies.
  • Manage general ledger accounts and support month-end and year-end closing activities.
  • Verify, allocate, post, and reconcile financial transactions.
  • Maintain and balance subsidiary accounts.
  • Ensure balance sheet reconciliations are completed accurately and on schedule.
  • Maintain accounting records related to assets, liabilities, revenues, expenditures, and operating expenses.

Financial Reporting

  • Assist in preparing monthly, quarterly, and annual financial statements and reports.
  • Prepare reports related to projected costs, revenues, and financial performance.
  • Review financial information and reports with management as requested.
  • Support the preparation and analysis of budget and financial data.

Audit & Compliance

  • Assist in the coordination of internal and external audits.
  • Prepare schedules, reports, and supporting documentation for auditors.
  • Maintain compliance with accounting principles, organizational policies, and regulatory requirements.
  • Support the development and implementation of accounting controls, policies, and procedures.

Vendor & Tax Reporting

  • Maintain vendor records including W-9 documentation.
  • Monitor and manage 1099 vendor compliance.
  • Prepare annual 1099 reporting and supporting documentation.
  • Ensure accuracy and completeness of vendor files.

Financial Systems & Process Improvement

  • Assist with implementation and maintenance of accounting systems.
  • Develop procedures and controls to improve efficiency and accuracy.
  • Participate in financial analysis, cost studies, and reporting initiatives.
  • Identify opportunities for process improvements and operational effectiveness.

Mission & Organizational Support

  • Support Trinity Youth Services' mission, values, and treatment philosophy.
  • Promote professionalism, collaboration, and ethical business practices.
  • Maintain positive working relationships with staff, leadership, community partners, and external stakeholders.

Qualifications

Education

  • Bachelor's Degree in Accounting, Business Administration, Finance, or a related field; or
  • Equivalent combination of education and experience.

Experience

  • Minimum of five (5) years of accounting or financial operations experience.
  • Experience with general ledger accounting, reconciliations, financial reporting, and audit support.
  • Prior experience in nonprofit, healthcare, human services, or multi-entity organizations is preferred.

Technical Skills

  • Proficiency with computerized accounting systems.
  • Advanced Microsoft Excel skills.
  • Working knowledge of Microsoft Office applications.
  • Experience preparing financial reports and account reconciliations.
  • Strong understanding of accounting principles and financial controls.

Additional Requirements

License & Clearances

  • Must be at least 21 years of age.
  • Valid driver's license with an acceptable driving record.
  • Must be insurable under the organization's insurance carrier.
  • Ability to pass required background checks, Child Abuse Index clearance, drug screening, and physical examination, as applicable.

Working Conditions

  • Primarily works in a professional office environment.
  • May travel occasionally between office locations.
  • Work is performed in modern, well-lit facilities.
  • Regular use of computers, telephones, copiers, and other office equipment.

Physical Requirements

The employee must be able to:

  • Sit for extended periods while working at a computer.
  • Reach, bend, stand, walk, and climb stairs as needed.
  • Operate standard office equipment.
  • Safely operate a motor vehicle.
  • Lift and carry up to 50 pounds occasionally.
