Job Summary

The Tax Accountant I is responsible for administering multi-state payroll tax compliance, ensuring accurate tax withholdings, filings, deposits, and reporting in accordance with federal, state, and local regulations. This role performs detailed tax reconciliations, manages tax notices and employee tax inquiries, prepares year-end reporting, and collaborates with internal teams and tax agencies to resolve discrepancies and maintain compliance. The position requires strong analytical, organizational, and project management skills to support process improvements, participate in audits and testing activities, and ensure timely resolution of tax-related issues. Additionally, the Tax Accountant I identifies opportunities to enhance operational efficiency, improve accuracy, and reduce tax notices through proactive research, problem-solving, and continuous process improvement.

 

Key Responsibilities

 

Payroll Tax Compliance & Regulatory Knowledge

  • Remains current on all applicable tax withholding laws, regulations, and requirements for Local, State, and Federal. Coordinates and administers multi-state payroll tax compliance.
  • Coordinates and administers multi-state payroll tax compliance, with a primary focus on Local and State compliance.
  • Reviews regular payroll tax filings to IRS and state agencies, monthly, quarterly, and annually.
  • Understands W-2 requirements, including box 12 reporting and FICA Exemptions.

Tax Administration & Filing Management

  • Calculates, documents, and validates tax files, remittances, and ensures accurate settlement of daily tax deposits.
  • Maintains and executes work plans to produce accurate, timely year-end information through data scrubbing.
  • Manages the tax notice response process.
  • Prepares correspondence to address tax notices and other communications received from clients and tax agencies to resolve outstanding issues.

Financial Reconciliation & Accounting Controls

  • Works with finance staff on bank reconciliations to solve discrepancies and execute a solution.
  • Responsible for account balancing for SUI, FUTA, FICA, and SIT.

Project Management & Process Improvement

  • Applies demonstrated project management skills to ensure project deliverables and expectations are met daily.
  • Performs special projects that are designed to explore ways to improve accuracy, efficiency, and the timeliness of timesheet data submission.
  • Improves processes that will either eliminate or reduce tax notices.
  • Performs User Acceptance Testing when a need is identified.

Customer Service & Issue Resolution

  • Performs support ticket transaction resolution tasks.
  • Responds to incoming departmental support tickets to solve outstanding issues within contract requirements.
  • Handles employee tax-related inquiries.

Stakeholder Management & Communication

  • Establishes and maintains excellent communication with tax agency staff at local, state, and federal levels.

Audit & Risk Management

  • Participates in audits as needed.

  • Ability to reconcile tax filings.

 

Qualifications:

  • Education: Bachelor’s degree preferred or equivalent work experience required.
  • Experience: 1+ years of progressive experience with automated financial operations center projects, 1+ years prior tax, and financial administration experience.

Compensation Range: $58,000 - $65,000 annually
