Accounting Manager
Position Summary
The Accounting Manager is responsible for overseeing the day-to-day accounting operations of the organization, ensuring the accuracy of financial records, timely completion of month-end close activities, payroll administration, management of cash flow and bank reconciliations, and compliance with company policies and accounting standards. This role supervises accounting processes, supports financial reporting, manages accounts payable and accounts receivable activities, and works closely with leadership to improve financial controls and operational efficiency.
Key Responsibilities
Accounting Operations
- Manage daily accounting activities, including general ledger maintenance and account reconciliations.
- Ensure all financial transactions are accurately recorded and properly coded.
- Review journal entries and supporting documentation.
- Maintain accurate and organized accounting records.
- Ensure compliance with company policies and accounting procedures.
Month-End and Year-End Close
- Lead the monthly, and annual close processes.
- Review account reconciliations and investigate discrepancies.
- Prepare and analyze financial statements and related schedules.
- Ensure all deadlines are met for financial reporting requirements.
- Coordinate year-end closing activities and support external Accounting Firm.
Cash Management & Treasury
- Monitor daily cash activity, account balances, and liquidity requirements.
- Investigate and resolve reconciling items and cash discrepancies.
- Manage banking relationships and support treasury activities as needed.
- Monitor actual cash receipts and disbursements against forecast and recommend corrective actions when necessary.
- Manage all company banking relationships and treasury activities.
- Prepare and approve payment batches, including checks, ACH, EFT, and wire transfers, ensuring appropriate authorization and supporting documentation.
- Administer the bank's Positive Pay system, including daily exception review, check issue uploads, payee verification, and resolution of exception items.
- Maintain banking security controls, user access, and payment authorization procedures.
- Prepare and review monthly bank and credit card reconciliations.
- Investigate and resolve reconciling items and cash discrepancies on a timely basis.
- Recommend improvements to cash management processes, fraud prevention controls, and treasury operations.
Payroll Administration
- Manage the end-to-end payroll process, ensuring employees are paid accurately and on time.
- Review and approve payroll for accuracy, completeness, and compliance with company policies.
- Coordinate payroll processing with the Company's payroll provider.
- Ensure accurate calculation and payment of wages, overtime, bonuses, commissions, paid time off, and other compensation.
- Review and reconcile payroll-related general ledger accounts, payroll tax liabilities, benefit deductions, and accruals.
- Maintain payroll records and supporting documentation in accordance with applicable record retention requirements.
- Ensure compliance with all federal, state, and local payroll tax laws and wage and hour regulations.
- Coordinate with Human Resources regarding new hires, employee status changes, terminations, and benefits deductions.
- Respond to employee payroll inquiries and resolve payroll discrepancies in a timely manner.
- Assist with year-end payroll activities, including W-2 preparation and payroll reconciliations.
Accounts Payable
- Oversee accounts payable.
- Disburse vendor payments.
- Monitor compliance with banking security protocols, Positive Pay requirements, and payment authorization policies.
- Monitor aging reports and assist with collection efforts.
- Ensure accurate processing of invoices, expense reports, and customer payments.
- Resolve payment and billing discrepancies.
Financial Reporting & Analysis
- Develop, maintain, and update rolling 13-week cash flow forecasts to support operational planning and liquidity management.
- Prepare monthly cash flow projections and variance analyses for executive leadership.
- Prepare monthly management reports and financial analysis.
- Analyze variances and explain significant fluctuations.
- Assist with budgeting and forecasting activities.
- Develop and maintain key financial metrics and reporting tools.
- Provide recommendations to improve financial performance and efficiency.
Internal Controls & Compliance
- Ensure compliance with internal accounting controls.
- Assist in developing and documenting accounting policies and procedures.
- Support internal and external audits.
- Maintain compliance with regulatory and reporting requirements.
- Identify and mitigate financial and operational risks.
Process Improvement
- Identify opportunities to improve accounting workflows.
- Recommend and implement automation solutions.
- Enhance reporting capabilities and data accuracy.
- Support Quickbooks accounting software initiatives.
- Create efficiencies that improve productivity and reduce errors.
Accounting Manager Qualifications
- Bachelor's degree in Accounting, Finance, or related field.
- 5+ years of progressive accounting experience.
- Prior supervisory or leadership experience preferred.
- Strong understanding of GAAP and accounting principles.
- Experience managing month-end close and account reconciliations.
- Advanced Microsoft Excel skills.
- Experience with ERP or accounting software systems.
- Strong analytical, organizational, and problem-solving abilities.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities and meet deadlines.
