Job Description

Role Overview

The Executive Administrator, Finance & Human Resources (HR) will perform administrative tasks and services to support effective and efficient operations of the Savara’s Finance and Human Resource departments. Reporting to the Senior Office Manager and Executive Administrator, this role is one of the first individuals that candidates/the team will interact with and plays an important to providing a strong employee experience. The Executive Administrative Assistant will assist with employee engagement initiatives, interviewing, compliance initiatives, new hire onboarding, and other administrative processes. This role will require strong organizational skills and attention to detail, as this role touches multiple initiatives at all times.

 Core Responsibilities

  • Provides administrative support to the Finance and HR departments, including completing expense reports, drafting communications, maintaining spreadsheets, taking notes at meetings, following up on action items, and calendaring meetings 
  • Supports the recruitment process through scheduling interviews and answering FAQs from candidates
  • Maintains accurate and up-to-date organization charts and job descriptions
  • Books complex domestic and international travel
  • Assists with new hire onboarding, including managing the onboarding checklist and planning and executing in-person onboarding events
  • Maintains supply inventories and re-orders items as needed
  • Maintains the accuracy and confidentiality of human resource files and records
  • Reconciles invoices
  • Assists with accounts payable and US payroll as needed
  • Other duties and projects as assigned

Required Qualifications

  • A minimum of 3 years of executive assistant experience required
  • Previous work experience in biotech/pharma preferred
  • Previous work experience with HR and Finance tasks preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) and online collaboration tools (Zoom, Teams). 
  • Strong understanding of the importance of confidentiality and discretion in Human Resources.
  • Effective written and verbal communication skills.
  • Exceptional organizational skills for managing tasks and a keen attention to detail.
  • Strong customer service mindset, responding to candidate and team member needs in a timely manner.
  • Proactive problem-solving abilities. 

Work Schedule and Location

  • This role is hybrid, based out of our Langhorne, PA office. The employee will be expected to be in office 2-3 days per week, with some weeks requiring more time in office based on the team's needs. Occasional evening hours may be required.

Savara’s compensation for this role will include an hourly rate, bonus, and equity. The range for this role is $38.00 - $45.00 per hour. This role is eligible for overtime.
