 Our Payroll Accountant is responsible for processing AORN Inc.’s biweekly payroll and ensuring all payroll-related transactions are accurately reported, reconciled, paid, and recorded in the general ledger. This role partners with Human Resources and third-party vendors to manage payroll, benefits, and compliance activities. A high level of accuracy, attention to detail, customer service, and discretion in handling HIPAA and confidential information is essential. Must possess advanced Excel and analytical reporting and communication skills. 

 AORN is based in Denver, CO. Our Payroll Accountant will work in a hybrid capacity from the Denver office.

More about what you’ll get to do as our Payroll Accountant: 

  • Process biweekly payroll, including bonuses, commissions, and severance
  • Maintain Payroll setup in ADP system, to  include Auditing employee pay, status, and position changes, and additional pay code setups to maintain accuracy. 
  • Set up new State tax registrations and audit configuration of state paid leave settings/programs as needed. 
  • Reconcile all tax filings to ADP and ensure AORN is in compliance. 
  • Prepare payroll journal entries and maintain ADP GL interfaces
  • Audit time‑off accruals and prepare reports
  • Verify weekly 401(k) and non-qualified plan data file feeds from Fidelity to ensure accurate upload of participant deferrals and loan repayment information into ADP
  • Review weekly demographic ADP data file feeds to ensure accurate upload of participant demographic information to Fidelity for the 401(k) and non-qualified plans
  • Leverage HRIS system to audit and reconcile pre-tax and post-tax benefit deductions to ensure open enrollment and qualifying life event deduction changes are accurately reflected on employee paychecks
  • Prepare biweekly benefit uploads (401(k), FSA, HSA, insurance) 
  • Reconcile benefit invoices to system enrollment data and work with HR to resolve discrepancies in a timely manner
  • Collaborate with Benefits/HR to verify employee eligibility, ensure accurate time off tracking, and administration of federal, state, and company time off and LOA programs.  Accurately calculates and reconciles paid leave balances, benefit adjustments, disability claim off-sets, CO FAMLI and other state wage replacement benefits, along with employer-provided paid time off to ensure compliance and accurate wage payments.
  • Maintains accurate employee and payroll data to support ongoing compliance audits and government reporting such as FSA discrimination testing and California Pay Data Reporting.
  • Reconcile payroll‑related balance sheet accounts and resolve discrepancies to ensure accurate financial reporting 
  • Update compensation schedules and monitor payroll allocations for accuracy and budget alignment
  • Prepare year‑end payroll reports and information for annual financial audit as requested.  
  • Assist with 401(k) compliance testing, annual audit, and 5500 Tax return 
  • Maintain and improve payroll procedures documentation manual. 
  • Coordinate payroll-related details with Human Resources and assist with special projects
  • Perform other duties as assigned

 Must Have’s to be our Payroll Accountant:

MINIMUM QUALIFICATIONS

  • 5+ years payroll processing experience, including reconciliation of payroll-related accounts
  • Associate Degree in Business Administration or Accounting
  • Recent hands-on ADP Workforce Now payroll experience required
  • Multi‑state payroll experience, including state tax registration knowledge. 
  • Advanced Microsoft Excel skills with demonstrated experience in data analysis and payroll reporting

 PREFERRED QUALIFICATIONS

  • Bachelor’s degree in Accounting

  • Strong knowledge of payroll processes 
  • High attention to detail and accuracy, including strong reconciliation and analytical skills
  • Strong organizational and time‑management skills
  • Professional communication skills
  • Ability to maintain strict confidentiality
  • Proficiency in Microsoft Office, advanced Excel preferred

 Working Conditions
 Remote work environment, using a computer, telephone and other office equipment daily. Ability to travel as needed to support departmental and Association functions.
