JOB SUMMARY
The Staff Accountant is responsible for maintaining accurate financial records and supporting the day-to-day accounting functions of the hospital. This position oversees account reconciliations, financial reporting, general ledger maintenance, expense tracking, and month-end closing support while working collaboratively with hospital leadership and external accounting partners. The role requires strong organizational skills, attention to detail, and the ability to work independently in a remote environment.
This is a hybrid position that is mostly remote, involving periodic travel to the hospital for collaborative sessions with leadership and administrative colleagues.
The Staff Accountant operates under the direct supervision of the CEO. This is an overview of the position and specific duties aren’t limited to those listed.
DUTIES AND RESPONSIBILITIES
- Maintain accurate and up-to-date financial records
- Reconcile bank accounts and credit card statements
- Maintain and reconcile general ledger accounts
- Prepare monthly financial reports and supporting documentation
- Monitor and provide reporting on EBITDA metrics for clinicians and the practice
- Monitor cash flow and track operating expenses
- Assist with month-end and year-end closing processes
- Record journal entries and account adjustments as needed
- Review financial data for accuracy and resolve discrepancies
- Maintain organized electronic financial files and records
- Coordinate with external CPA or accountant during tax preparation and reporting
- Support budgeting and financial tracking activities
- Ensure compliance with company financial policies and procedures
- Process and enter accounts payable
- Communicate regularly with hospital leadership regarding financial matters
- Working closely with HR to ensure accurate accrual recording
- Perform other bookkeeping and accounting support duties as assigned
QUALIFICATIONS
Required:
- Associate degree or coursework in accounting, bookkeeping, or finance
- Minimum 2 years of bookkeeping or accounting experience
- Strong understanding of bookkeeping and basic accounting principles
- Experience with QuickBooks or similar accounting software
- Proficiency in Microsoft Excel and Google Workspace
- Strong attention to detail and organizational skills
- Ability to work independently and manage deadlines in a remote environment
- Strong written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive financial information
Preferred:
- Experience working in a veterinary, healthcare, or small business environment
- Experience with financial reporting and month-end closing processes
- Familiarity with veterinary practice management software
- Experience coordinating with external accountants or CPAs
- Ability to identify process improvements and maintain efficient financial workflows

PUNCTUALITY AND ATTENDANCE
- Utilize the timekeeping system to clock in and out at the beginning and end of each day and during meal breaks
- Adhere to work schedule, arrive for work promptly and be ready to begin working at the start time
- Arrive to meetings and appointments on time
- Follow hospital protocol for requesting time off and for reporting lateness and absences.
- Maintain flexibility in work schedules when needed, based on hospital needs
SAFETY
- Follow OSHA and USP guidelines for safety and handling of hazardous materials
- Follow established hospital safety protocols for animal handling, controlled substances, radiation protection, bite wounds, and equipment use
- Maintain familiarity with federal and state animal health laws, including OSHA and DEA regulations
